What is NEXOS?

NEXOS is a multi-location back-office SaaS platform built by Titan Innovations LLC. It combines NexosIQ invoice and receipt extraction, CostIQ automatic line-item categorization, NexosIQ Search (semantic search across all documents), multi-location P&L reporting, POS integrations for Square, Clover, and Revel, plus QuickBooks and Xero sync. Designed for restaurants, retail chains, and other multi-unit operators.

How accurate is NexosIQ extraction?

NexosIQ achieves 99% extraction accuracy on invoices and receipts. It handles scanned PDFs, mobile photos, multi-page invoices, and multi-vendor PDFs (auto-splits them into separate records). The engine uses a three-attempt adaptive retry pipeline — standard extraction, then high-contrast retry, then extended reasoning mode — so even poor-quality scans get processed correctly.

How much does NEXOS cost?

NEXOS pricing is per location per month with four tiers: Starter at $49/location/month, Business at $99/location/month, Professional at $149/location/month, and Enterprise with custom pricing. Volume discounts available for 50+ locations. Add-ons include Projects ($50/month) and Unlimited Data Retention.

What POS systems does NEXOS integrate with?

Square, Clover, and Revel are natively supported with OAuth, automatic token refresh, and location-to-store mapping. Every six hours orders and labor timecards sync automatically. Toast integration is in progress. The Square and Clover integrations use automatic token refresh, so sync never silently fails when tokens near expiry.

Does NEXOS integrate with QuickBooks and Xero?

Yes. Both QuickBooks Online and Xero have full bi-directional integrations. Invoices sync as bills, receipts sync as expenses (or bank transactions in Xero). Configurable account codes, sync history with per-document status, and bulk sync for catching up on backlogs.

What is NexosIQ Search?

NexosIQ Search is semantic search across every invoice, receipt, and vendor in your account. Uses 512-dimension vector embeddings indexed per-tenant in pgvector, so you can search by meaning instead of keywords. Typing 'Korean food distributor' finds your Korean vendors even if none have 'Korean' in their name. Available on both web (/search) and mobile (More → NexosIQ Search).

What is CostIQ?

CostIQ is NEXOS's automatic line-item categorization engine. Every line on every invoice or receipt is assigned to one of 19 cost categories (food cost, supply cost, equipment, etc.) so operators know their exact cost breakdown per category, per store, without manual tagging. Included in Professional and above.

Can NEXOS handle enterprise onboarding with thousands of historical invoices?

Yes. Enterprise customers with large archives use the bulk historical import feature, which processes thousands of documents at 50% of regular extraction cost via our NexosIQ Batch pipeline. Typical turnaround is under one hour, guaranteed within 24. Platform admin triggers the import per tenant; documents upload directly to S3 and extract in the background.

Does NEXOS support SSO?

Yes. Single Sign-On is supported on the Professional and Enterprise tiers, compatible with any standards-compliant enterprise identity provider. Auto-provisioning is available so new users at a client's identity provider show up in NEXOS automatically.

Is there a REST API?

Yes. NEXOS ships with 200+ REST API endpoints, webhooks with cryptographically signed payloads, and API key management. Partners can embed NexosIQ extraction into their own products at three tiers: Extraction API, Extraction + Storage, and Platform Embed (full white-label).

Is there a mobile app?

Yes — native iOS and Android apps. Features include offline invoice scanning, receipt capture, mixed-receipt per-line-item business/personal tagging, GPS mileage tracking (IRS-compliant), NexosIQ Search, and biometric unlock with Face ID / fingerprint. Available on the App Store and Google Play.

Can I text in receipts instead of scanning them?

Yes — SMS receipt capture is built in for Business and Enterprise tiers. Each store gets its own dedicated NEXOS phone number from our managed pool. Authorized users (account owner, store manager) text photos of receipts and invoices to that number from any phone. The system extracts the data, replies with a confirmation prompt (Y to confirm, N to discard), and saves the document to the store's ledger — usually within 60 seconds. Standard CTIA opt-out (text STOP) is built in. Built on AWS End User Messaging, not third-party SMS providers.

What is the Supplier Portal?

The Supplier Portal is NEXOS's auto-fetch flow for vendor invoices. It works three ways: (1) Email forwarding — each store gets a unique address you add as the recipient on any portal that emails PDFs. (2) Direct connectors — paste a Stripe restricted key, AWS Cost Explorer credentials, or grant read-only Gmail OAuth, and we pull invoices straight from the source. (3) Headless connectors (Enterprise) — connect your Sysco Shop, US Foods MOXē, or Comcast Business login, and we log in nightly to pull invoice PDFs from your portal account. Credentials encrypted at rest with AES-256-GCM. Available on Professional, Business, and Enterprise tiers; headless connectors are Enterprise-only.

How does the SMS conversational approval flow work?

When you text an invoice to your store's NEXOS phone number, our vendor-price hawk Marcus checks every line item against your last 30 days. If anything looks off — eggs +92% from last month, flour up 18% — you don't get the plain Y/N confirmation. You get an enriched alert with the top three flagged items, then reply Y to approve despite the flag, F to flag it for review (creates a queue item for your CFO), or N to discard. Decide a $1,200 invoice from your phone in under 10 seconds. Business and Enterprise tiers.

What is the CFO Budget Watchtower?

Most budget alerts fire once when you cross a single threshold and then go silent. The CFO Budget Watchtower escalates: 75% (early warning), 90% (urgent), 100% (over), 125% (critical overage). Each tier ships with a run-rate projection ("at this pace you'll land $1,840 over by month-end, 8 days remain") and tier-specific recommended actions: pause discretionary spend, require written CFO approval for new POs over $500, freeze the category, schedule a P&L variance walkthrough. Tier escalation is idempotent — each tier fires exactly once per budget per period. Email + push to your account owner, CFO, executives, and store-managers (location-scoped). Runs every morning at 8am EST. Included with Budget Tracking on Professional+ tiers.

What is the Pre-Spend / Request-to-Scan workflow?

An Enterprise-tier workflow for organizations that need approval *before* spending, not just visibility *after*. A store manager scans the quote, vendor, and estimated amount before placing the order. Your CFO and account owner get an instant email + push notification, review on web or mobile, and approve or reject with notes. When the actual invoice scans in later, NEXOS auto-matches it to the request and tracks variance against the original estimate — straight to your audit log. Status flows pending → approved → matched, with full audit trail at every step.

Can NEXOS generate PowerPoint reports for the board?

Yes. From Reports → Generate New, pick PowerPoint instead of Excel. You get a 6-slide boardroom-ready deck with cover, period KPIs (total spend, invoices, vendors, avg invoice), top 10 vendors table, monthly spend trend chart, spend by location (when multi-store), and a closing slide. Branding (company name, primary color) auto-applies on Professional+ tiers. Pure Owen-the-Reports-Concierge — ask Ava chat "give me a deck for the board" and Owen routes you to the export.

What runs on the NEXOS intelligent automation?

How does data retention work?

Default retention is three years. Tenants can add Unlimited Data Retention as an add-on. Weekly cleanup runs on Sundays at 3 AM UTC with 30-day advance warning emails before any data is deleted. Soft-deleted items are hard-purged after 90 days. Full GDPR compliance including user-initiated account deletion with 30-day grace period and data-export on demand.
