NEXOS started when our founder saw the same problem everywhere: businesses drowning in manual processes. Invoices piling up. Expenses tracked in spreadsheets. Approvals stuck in email chains. No clear picture of where the money was going.
Enterprise platforms existed, but they cost six figures and took months to implement. Small and mid-sized businesses were stuck choosing between tools that did one thing well or tools that did everything poorly.
So we built something different: a single platform that handles invoices, expenses, approvals, budgets, inventory, vendor management, and reporting — at a price point that works whether you have one location or five hundred. No consultants required. No 6-month rollout. Just sign up and go.

How NexosIQ Works
NEXOS is built on four proprietary engines — NexosIQ, CostIQ, NexosIQ Search, and NexosIQ Learn. Together they turn every document a business scans into structured, categorized, searchable operational data.
NexosIQ Extraction
NexosIQ is our proprietary invoice and receipt extraction engine — real-time, not batch. Every document is processed synchronously the moment it lands, with a three-attempt adaptive retry pipeline (standard → high-contrast → extended reasoning) that gets 99% accuracy on scans, photos, and even crumpled or faded receipts. Multi-page PDFs and multi-vendor PDFs are auto-split.
Enterprise bulk import is the exception — archives of 1,000+ historical documents run through the separate NexosIQ Batch pipeline at half the cost, completing in under an hour.
CostIQ Categorization
Every line item on every invoice gets automatically assigned to one of 19 cost categories — food cost, supply cost, equipment, utilities, and more. CostIQ learns per-vendor patterns and improves over time, so operators know their exact cost breakdown per category, per store, with zero manual tagging.
NexosIQ Search
Semantic search across every invoice, receipt, and vendor — built on 512-dimension vector embeddings indexed in pgvector. Type "Korean food distributor" and find every related invoice, even if the word "Korean" never appears on the document. Available on web and native iOS/Android.
NexosIQ Learn
Per-tenant intelligence that gets smarter with every document. Past invoices from a vendor are retrieved as few-shot context before new extractions, so the 10th invoice from a vendor extracts more accurately than the 1st. Every business has its own isolated intelligence — a Korean restaurant's NexosIQ learns Korean food distributors; a construction company's learns lumber suppliers.
