Ava and 17 specialists. Named. Scoped. Actually working.
Every NEXOS account ships with a team. Some answer on demand in chat. Others run in the background — nightly, every six hours, first thing in the morning — and only interrupt you when they find something worth flagging.

Meet the team
Each automation has one job, a clear scope, and a real audit trail. No mystery. No black box. You can watch them work from the admin dashboard.
The face of NEXOS in chat. Answers the everyday questions herself and hands off to a specialist only when the question needs live tenant data or specialist reasoning.
Reviews your most recent invoices for anomalies — subtotal mismatches, unusual vendors, duplicates, low-confidence rescans. Ask Ava "anything weird with today's invoices?"
Reads every open support, sales, billing, and partner ticket, ranks by urgency, and tells you what to handle first.
Watches every new tenant's first week. Flags if they haven't uploaded a receipt, connected QuickBooks, or invited a teammate — so you can reach out before they churn.
Pulls Excel reports on demand, answers "send me last month's P&L," and knows which scheduled reports are configured for your account.
Answers the "why did X go up" questions. Pulls budget vs actual, identifies the line items driving variance, compares month-over-month.
Matches invoices to your Plaid bank feed. Finds unmatched invoices, duplicate payments, and Verified Paid confidence gaps.
Runs nightly. Catches vendor price spikes, unit-size shrinkflation, and cost creep across every store. Emails CFO + accounting when it finds something.
Drafts the actual pushback email to your vendor — citing your purchase history, volume, and the exact line items that moved.
Fires at 7am local each day with a 5-line brief — what shipped, what flagged, what's about to bill, what needs your attention.
Projects next month's cost and revenue from your run-rate. Calls out the biggest swing factors.
Looks across 90 days of data and tells you what's changing — category mix, vendor concentration, store-by-store drift.
Reads your expense policy and checks every recent submission against it — per-diem overages, approval thresholds, category caps, blocked categories. Flags out-of-policy spend quietly for approvers. Ask her on demand, or let her sweep in the background.
In-app guide for new teammates. Answers "how do I…" questions without a support ticket.
NYC Fair Workweek specialist. Scans every published schedule for clopening pairs, late changes inside the 14-day window, missing consents, and good-faith hours estimate deviations. Calculates premium pay owed at the moment the qualifying event happens, cites the underlying NYC § for every flag. Produces the DCWP audit packet on demand. Strict rule engine — no creative interpretation.
Drafts next week's schedule from your last 4 weeks of POS sales and same-week last year. Hits your labor budget. You review, adjust, and publish — Sam never publishes for you.
Reconciles daily cash drawers against POS deposits and bank feeds. Flags variances over your tolerance threshold and explains the most likely cause.
Reads every store's daily log entries, summarizes urgent items, and emails account owners + executives a morning digest. Auto-tags fire / medical / theft / inspector keywords for escalation.
How it works
Two modes. Ava is always the front door. Specialists step in when they add real value.
1. You ask.
Open the floating chat anywhere in NEXOS. Ava answers the common stuff herself. When your question needs live data — "anything weird with today's invoices?" — she hands off to Leo and brings his answer back into the chat, tagged with his name.
2. They watch.
Nora and Logan run every morning. Marcus runs every night. Iris runs every six hours. They don't email you when nothing's wrong — they only interrupt when there's a finding, and every finding comes with the context that triggered it.
3. You decide.
Findings land in your bell + mobile push. Urgent findings also email the roles you configure (CFO, accounting, account owners). Nothing gets written back to your books automatically — the automation flags; you approve.
Every run has a receipt.
We don't ship a black box. Platform admins get a live dashboard showing every automation, every run, every finding, every duration — filterable by automation, by tenant, by mode.
If Leo flags one of your invoices, you can pull up his last 50 runs and see the pattern that triggered it.
Included with every account.
Ava, Leo, Jules, Charlie, Owen, Elena, Dan, Vic, Sam, and Cash ship with every plan. Logan, Nora, Kira, Tom, Pia, Zoe, Iris, and autonomous Marcus unlock on Business and Enterprise.
